Since 2012, we have impacted over 868,000 women across 16 districts in Karnataka and built a network of 20,212 volunteer Community Anchors. Our work has also expanded globally to The Gambia, Georgia, Tanzania, and Ukraine. The impact is clear: Women have increased their savings by 125%, business income increased by 75% for entrepreneurs, 80% of the women participate in household decision making, 51% of the Beehives have taken a community action in past one year, 86% of the women have mobilized women in her community for a green goal.

Overview of the role
The Finance and Admin Manager supports the Head of Finance by managing day-to-day financial operations, budget tracking, Monthly MIS preparation for management review, payroll coordination, compliance filings, and periodical donor fund utilization, procurement This is a hands-on role with responsibility for ensuring financial integrity across programs and geographies. This position requires a detail-oriented professional with solid accounting knowledge, hands-on experience in Tally and Excel, and the ability to manage procurement, audits, and asset tracking in alignment with organizational and donor requirements.
Roles and Responsibilities
1. Accounting Functions
- Prepare and monitor budgets and financial reports for internal teams as well as donors.
- Oversee and review the preparation of accurate books of accounts using accounting software (e.g.Tally Prime)
- Manage and supervise monthly payroll processing and reimbursement cycles for all employees.
- Review vouchers, bills, and supporting documents to ensure accuracy and compliance.
2. MIS, Reports & Financial Statements
- Prepare monthly, quarterly and annual MIS reports for internal review
- Generate customized financial reports for donors/funders
- Draft financial statements required for Income Tax and FCRA compliance
- Preparation of donor financial reports and grant utilization reports.
- Liaise with program teams to ensure fund usage aligns with budgets.
3. Statutory Compliance
- Ensure timely deductions, payments, and returns filing for TDS, PT, PF, ESI,Gratuity.
- Co ordinate all statutory return filings including IT and FCRA returns on time.
- Coordinate statutory compliance: GST filings, TDS,PT, PF/ESI contributions.
4. Team Management & Capacity Building
- Supervise and mentor finance and admin team.
- Train program and field teams on financial policies and procedures.
- Develop SOPs and financial guidelines suitable for grassroots program operations.
5. Audit Coordination
- Lead Internal and statutory audits.
- Lead donor audits by providing required documents and explanations to queries.
6. Procurement, Asset & Stock Management
- Oversee and ensure quotations, comparison statements, and procurement aligns with budget and policy.
- Support to admin team to ensure vendor coordination and pricing negotiations.
- Ensure asset tagging, maintain the Fixed Asset Register (FAR), and physical asset verification.
- Ensure inward/outward stock records and update stock registers regularly.
- Oversee over all administration of Head office and district offices.
- Coordinate and monitor procurement requirements.
- Oversee vehicle requirements with regard to insurance, permit, regular service with in the due dates.
7. Key Skills and Competencies
- Familiarity with Tally accounting software.
- Must be proficient in generating Tally reports.
- Strong working knowledge of Excel for financial reporting and analysis.
- Strong understanding of Generally Accepted Accounting Principles (GAAP).
- Strong knowledge of FCRA, GST, TDS,ESI/PF and non-profit regulatory frameworks.
- Ability to manage multiple priorities and deadlines.
We’d Like You to Have
- 6 to 10 years of relevant experience in finance, accounting, and administration—preferably in a non-profit or development sector setting.
- A graduate or postgraduate degree in Commerce, Finance, Accounting, or a related field.
- Experience in managing payroll and compliance for a mid-size NGO or enterprise.
- Proficiency in local language Kannada is mandatory.
- Strong working knowledge of Tally ERP and MS Excel for reporting, data analysis, and financial tracking.
- Solid understanding of GAAP and Indian accounting standards.
- In-depth knowledge of statutory compliance requirements, including TDS, EPF, ESI, PT, Income Tax, and FCRA.
- Experience in handling audits, both statutory and donor-related.
- Familiarity with procurement processes, vendor negotiations, and documentation as per organizational and donor policies.
- Ability to maintain and manage asset and stock records with accuracy and accountability.
- Attention to detail, strong documentation skills, and audit-readiness mindset.
- Good interpersonal and communication skills to coordinate with teams, vendors, and auditors.
- A sense of ownership, integrity, and commitment to timelines and compliance.
